Conditions of campervan rental

Please familiarise yourself with the terms and conditions of VanScape campervan rentals. Below you will find all necessary information regarding required documents, booking fees, handing over the vehicle, etc.

Required documents

When hiring a campervan, the Hirer is required to present a valid driver’s licence and an Estonian ID card or passport. In the case of a corporation, the agreement is entered into by a member of the board or by an authorised person who shall present the Lessor with the documents certifying their authorisation (power of attorney, letter of guarantee, company registration certificate). Also, in that case, in addition to the Rental Agreement, a surety contract has to be signed by which the user of the campervan guarantees the performance of the obligations assumed by the company. The Hirer may transfer the right to drive the campervan to a third party only when the Lessor has included a relevant clause in the Agreement. When transferring the right to drive the campervan to a third party, the Hirer must inform the third party of the terms and conditions of the Agreement. The transfer of the right to drive the campervan to a third party does not release the Hirer from the obligation to comply with the terms and conditions of the Agreement. The Hirer shall also be held responsible for any activities of the third party. To be eligible to drive the hired campervan, the driver must be at least 21 years of age, hold a valid driver’s licence for vehicles in category B and possess a prior driving experience not less than 3 years.

Booking

You can book the campervan by mail or by phone. After receiving the booking request, we will confirm its possibility within 24 hours. The campervan booking fee is 500 EUR. We will deem the booking confirmed once the booking fee has been paid to c/a EE607700771003113948 (LHV Bank) of KR CST OÜ. The booking fee has to be paid within one day from receiving the written confirmation or relevant invoice from the Lessor. Should the Hirer fail to pay the booking fee on time, the Lessor shall be released from the obligations it has assumed by the booking.

During high season (from 1 June to 31 August), when booking the campervan less than 30 days before the beginning of the rental period, the booking fee shall be 50% of the rental fee.

When booking the campervan less than 15 days before the beginning of the rental period, the booking fee shall be the rental fee paid fully in advance.

The booking fee must be paid to the bank account of KR CST OÜ and it shall be regarded as a part payment of the rental fee. If the client decides to cancel the booking while the booking fee has already been paid, the booking fee shall not be refunded.

Deposit and rental fee

The Hirer is required to put up a deposit to secure the performance of the obligations set out in the Agreement. The Hirer must deposit the amount equalling the deductible of the Casco insurance plus the administration costs, which is 1000 EUR. When the Agreement terminates without complaints from parties, the deposit shall be refunded within 5 work days.

The final settlement takes place once the campervan has been returned to the Lessor. The rental fee can be paid either in cash or by bank transfer.

The rental fee shall cover the cost of oils, maintenance, mandatory motor third party liability insurance and full Casco insurance, and up to two cylinders of LPG gas. The campervan shall be returned in the same condition as it was when the campervan was handed to the client. The rental fee does not include the cost of fuel, cleaning of the interior, comprehensive cleaning of the exterior, emptying of the waste water tank.

The daily rate shall apply to 24 hours counted from the moment the rental period begins.

The obligations of the Hirer while using the campervan

The Hirer shall examine the campervan thoroughly before the beginning of the rental period and before the campervan is handed over by the Lessor to the Hirer to detect any possible existing defects. If the Hirer does not detect any defects and does not request the addition of a corresponding clause in the Agreement, it shall be presumed that the vehicle is in a technically good condition, without any external defects and deficiencies and the Hirer has no complaints regarding the campervan.

When parking the campervan, the Hirer must remove the navigation and audio devices and other valuable accessories from visible areas, lock the campervan’s doors and turn on the alarm system. While travelling abroad with the campervan, the Hirer must ensure the campervan’s safety and preferably park the campervan in a secure parking lot if no-one sleeps in the campervan.

The Hirer shall use the campervan prudently and observe the traffic rules and other legislation.

The Hirer is responsible for the preservation of the campervan’s documents and keys.

The Hirer shall reimburse to the Lessor all fines they have received during the rental period in full (such as fines for traffic violations, parking tickets, fines for payments in arrears, fines for obstructive vehicle removals, etc.). The Lessor shall be entitled to demand the reimbursement of such fines from the Hirer within three years if it comes to light that the Hirer has failed to reimburse these fines to the Lessor and the existence of these claims is discovered after the end of the rental period.

Condition of the vehicle

The Lessor shall not be held responsible neither directly nor indirectly for the losses which may be incurred by the Hirer as a result of the campervan breaking down and when the planned trip is consequently interrupted or delayed. If the campervan breaks down during the rental period, the Hirer may request a proportionate reduction of the rental fee, provided it can be shown that the Lessor has not done everything in its power to ensure the good technical condition of the vehicle

Fuel

The campervan shall be handed over to the Hirer with a full tank. When the campervan is returned with a tank less than full, the Hirer shall be charged for the cost of fuel consumed on the basis of the price the fuel had been bought, plus an extra 25 EUR as a service fee. Any damage caused by improper refueling shall be reimbursed by the Hirer.

Rental period

The minimum rental period is five days. If the campervan is returned more than 1 hour later than the agreed upon time, the Lessor shall be entitled to demand the payment of the fee for an additional day. Should unforeseen complications arise in relation to the return of the campervan to the agreed upon place by the agreed upon time, the Lessor must be notified of this immediately.

Handing over and return of the vehicle

The campervan must be returned by the time and to the location previously agreed upon/specified in the Agreement. The Rental Agreement shall be deemed to have terminated once the campervan has been returned to the location specified in the Rental Agreement. The rental period commences at 2 PM on its first day and ends at 11 AM on its final day, unless agreed upon otherwise. The campervan must be returned with its interior carefully cleaned, as it was at the moment when the campervan was handed over to the Hirer. The external cleaning is not the Hirer’s responsibility. The Lessor is entitled to demand the compensation for cleaning if the campervan has not been sufficiently cleaned. The fee for cleaning is 70 EUR and the fee for the emptying of the waste water tank is 30 EUR. When the vehicle is returned, the Hirer and the Lessor shall inspect the vehicle’s condition together. The repair of defects which did not exist at the moment when the campervan was handed over to the Hirer and which cannot be deemed to be the result of normal wear and tear shall be paid for by the Hirer on the basis of the price list of the authorised service centre. Should the Hirer fail to return the campervan on time, the Lessor shall be entitled to demand the payment of a penalty fee of 300 EUR.

Without a prior agreement, no pets are allowed in the campervan. Smoking is strictly prohibited in the campervan. If these requirements are not observed, the Lessor shall be entitled to demand the payment of a penalty fee in the amount of 500 EUR. The Lessor is entitled to deduct the corresponding sums from the deposit.

When the campervan is returned to the Lessor, the washing of its exterior will be included in the rental fee and will be carried out at the expense of the Lessor.

When the campervan is handed over to the Hirer or is returned by the Hirer on a Sunday or a national holiday, an extra 30 EUR will be charged in addition to the rental fee.

Payments

In general, both the rental fee and the Hirer’s deductible shall be paid immediately before the beginning of the rental period. The final settlement takes place once the campervan has been returned to the Lessor. Payments can be made in cash or by bank transfer.

Insurance

The rental fees of campervans also cover Casco insurance with the Hirer’s deductible in the amount of 1000 EUR. The tyres and alloy wheels are not insured and the Hirer shall be held fully liable in relation to damage to or loss of tyres and alloy wheels. In the case of theft of the campervan, the Hirer must present the keys of the vehicle and its registration certificate. The theft of the vehicle must be registered at the police office in charge of the area where the theft occurred. In the case of a traffic accident, please notify the police and obtain a written certificate regarding the accident for the insurance. The Lessor must also be notified immediately (contact information is available in the Rental Agreement).

Validity of agreement

Any agreement you have signed is binding – even if you have not read it through. We recommend that you carefully read the terms and conditions before you sign the agreement and, if necessary, ask for clarifications. Later complaints will not be addressed or will be referred to a court of law for resolution.

Termination of the Rental Agreement

The Lessor shall be entitled to terminate the Rental Agreement if it comes to light that the Hirer has significantly breached the terms and conditions of the Agreement, has presented false information to the Lessor when hiring the campervan or fails to exploit the campervan properly.

Should the use of the campervan become impossible due to damage, defect, accident or theft, the Rental Agreement shall be deemed terminated as of the moment the corresponding information reaches the Lessor in written form.

If the Lessor demands the termination of the Rental Agreement for any of the reasons mentioned above, the Hirer must immediately return the campervan to the Lessor.

Travelling outside Estonia

The client is prohibited from travelling with the campervan outside the European Union (except for Norway, Switzerland, Lichtenstein, Andorra). The client is required to obtain the consent of the Lessor to travel outside Estonia at least 14 days before the rental period, the countries to be visited by the client shall be included in the Rental Agreement. The Hirer is prohibited from travelling with the campervan outside Estonia if they have not obtained the Lessor’s prior written consent on the Rental Agreement.

Equipment

All campervans have been equipped with anti-theft devices. During winter period, the campervans are fitted with winter tyres. All our campervans are equipped with GPS devices which also permit the Lessor to monitor the vehicles’ use. Based on the parties’ agreement, the Lessor shall hand over to the Hirer any additional equipment which is to be listed in the Rental Agreement.
